How Do I Prepare for a Data Submission?

The data submission window is completed in two parts. First, school system leadership identifies and sets the implementation phase for the current data submission window. Then, based on that phase, the school system leadership and school leadership teams complete their data submissions.

  • We recommend preparing your submission as a team, as the work will likely spread across multiple people. The steps below outline how to assemble the team and prepare to submit your data.

The Submission Process

Step 1: Assemble the Team

Implementing HQIM is hard work and requires many people across roles. Creating an effective plan to progress your implementation starts with bringing together your leadership team, composed of all individuals responsible for supporting implementation, whether because they work directly with teachers or leaders or because their work includes planning and executing professional learning.

School System Leadership Team

The school system leadership team could include the following roles:

  • CAO
  • Director of Curriculum and Instruction
  • Director of Professional Learning
  • School Leader Managers
  • Instructional Specialists
  • Director of Special Education
  • Director of Multilingual Learner Programs

School Leadership Team

The school leadership team could include the following roles:

  • School Leader
  • Assistant School Leaders
  • Instructional Coaches
  • Director of Special Education
  • Director of Multilingual Learners
  • Lead Teachers with any observation or supervisory responsibilities

Step 2: Gather Your Evidence

Each leadership team member should download the Data Submission Workbook specific to their role and current implementation phase. The workbooks include the full text of the key action and success criteria used for the data submission self-assessment. The ”Example” column shows completed scoring and evidence from leaders in each phase to support an understanding of the scoring process. It is not intended as the only evidence necessary for the success criterion. Use the blank evidence and score sections for preliminary notes about your evidence and initial score based on it.

Step 3:  Conduct an Implementation Review Meeting

  • Schedule an implementation review meeting with all members of the school system or school implementation team.
    • School system implementation teams only score for School System Leadership success criteria. 
    • School implementation teams score School Leadership and Teacher success criteria.
  • During the data submission meeting, for each success criterion:
    • Share any evidence relevant to the success criterion.
    • Norm as a team on the final scores to submit.
