How Do I Prepare for a Data Submission?
The data submission window is completed in two parts. First, school system leadership identifies and sets the implementation phase for the current data submission window. Then, based on that phase, the school system leadership and school leadership teams complete their data submissions.
Transparency and deep reflection are key, as the dashboard will help you set the next steps to progress with your implementation. Use the resources on this page to help you prepare for your data submission.
The Preparation Process
You will receive a notification email when the window for submitting your data opens as well as reminder emails throughout the window.
Preview the Success Criteria
Click the “Awaiting Submission” link on your dashboard landing page to preview the success criteria you will score for this data submission.
While there may be some success criteria you can quickly score, you may need to gather evidence before you can score others. The resources below support gathering different types of evidence.
Assemble the Team
Multiple individuals can enter scores and notes throughout the data submission window. We recommend preparing your submission as a team, as the implementation work is likely spread across people. Listed below are potential members of a school system or school leadership implementation team. Implementation teams are context-dependent. You will not necessarily have all of the roles listed below on your team.
The school system leadership team could include the following roles:
- CAO
- Director of Curriculum and Instruction
- Director of Professional Learning
- School Leader Managers
- Instructional Specialists
- Director of Special Education
- Director of Multilingual Learner Programs
The school leadership team could include the following roles:
- School Leader
- Assistant School Leaders
- Instructional Coaches
- Director of Special Education
- Director of Multilingual Learners
- Lead Teachers with any observation or supervisory responsibilities
Gather Your Evidence
The data submission form includes samples and guidance for scoring each criterion. Before scoring the teacher success criteria, we recommend conducting the following:
- Classroom observations
- Observe a variety of grade and experience levels for 15 – 20 minutes
- Use a copy of the lesson plan from the HQIM to help you determine how aligned the instruction is to the materials
- Teacher focus groups
- Include teachers from a variety of grades and differing levels of experience
- PLC observations
- Observe at least one PLC, focusing on whether HQIM Implementation is in place
View sample schedules for completing the observations and focus groups here.
The workbooks below provide more specific guidance on evidence for each role and phase.
Conduct an Implementation Review Meeting
- Schedule an implementation review meeting with all members of the school system or school implementation team.
- School system implementation teams only score for School System Leadership success criteria.
- School implementation teams score School Leadership and Teacher success criteria.
- During the data submission meeting, for each success criterion:
- Share any evidence relevant to the success criterion.
- Norm as a team on the final scores to submit.
- Designate one person to enter your scores and relevant notes on the Implementation Dashboard site. For more details about the submission process, please see the “How do I submit data” section of the resource library.
Data Submission Workbooks
Data submission workbooks are specific to a role and implementation phase. The workbooks include
- Recommendations for evidence to gather
- The full text of the key action and success criteria used for the data submission self-assessment
- Example completed scoring and evidence from leaders in each phase to support an understanding of the scoring process
- Blank evidence and score sections for preliminary notes about your evidence and initial score based on it.
